Marketing Operations Co-ordinator

Job Function:

The Marketing Operations coordinator is responsible for planning and coordinating the successful execution of all trade shows, consumer expos, retail and event POP material development and distribution, and selected corporate events. This includes all tasks associated with marketing events including, (but not limited to) trade show booth design and sourcing, onsite registration and implementation, onsite logistics support, and organizing event personnel.

This position reports directly to the senior Event Marketing Manager, and works closely with other departments to ensure planning and execution meets all the requirements of Sugoi’s annual operating calendar. Fully integrated workflow is required with Product Design, Sales, Marketing, Shipping & Receiving, Purchasing, Import & Export, and Accounting, as well as a variety of external vendors, suppliers, and industry affiliations.

Primary Duties and Responsibilities:
  • Provide direct backline logistics support to the Marketing Event Manager to plan, budget, develop, and execute all Trade shows, Consumer Expos, and select Corporate Events including booth registration, lighting, drayage, shipping logistics, installation and dismantling of booth, organizing event personnel, and booking staff travel. (hotel and airfare)
  • Maintain and communicate event schedule & calendars to the marketing department corporate calendar coordinator to drive key process and operational functions. 
  • Coordinate all tradeshow sample products and promotional products for events listed above. (All other samples ie. Sales rep samples, PR samples, design samples etc.) are coordinated by the Inside Sales manager or the Key account manager) 
  • Collaborate with the Creative Services team on booth and event materials within appropriate production timelines in the marketing event calendar.
  • Work closely with the Marketing Event Manager and the rest of the marketing team to achieve Sugoi’s marketing and corporate strategic objectives.
  • Assist the event manager with the planning and coordination of all key staff attendance at all trade shows, consumer expos, sales conferences, and other select corporate activities as required.
  • Oversee and coordinate the development, sourcing, ordering, and global distribution process of key marketing materials including retail and event POP, sales rep tools, and other essential materials to support strategic objectives in the marketing plan.
  • Other projects as discussed and mutually agreed with the senior event marketing manager.
Minimum Qualifications:
  • Marketing Diploma and/or at least 2 years experience in project/event management
  • Strong organizational, communication, and presentation skills are a must
  • High level of focused attention to detail and deadline driven
  • Ability to travel extensively and work flexible hours
  • Strong multi-tasking and time management skills
  • Excellent team player with the ability to work independently and responsibly.
  • Background in sales, customer service, and retail sales in sports industry
  • Knowledgeable of MS Office applications and JDE
  • Demonstrated initiative, follow-through and analytical problem-solving ability
  • Proven project management and task prioritization skills
  • Ability to work in a fast-paced, high-volume, and often ambiguous/fast-changing environment
Additional Desirable Qualifications:
  • Positive and energetic attitude.
  • Strong interest in running, cycling or general health and fitness.
  • Retail sales and apparel merchandising experience 
  • Technical equipment knowledge
Physical Demands:
  • The person in this position will be required to work in a fast-paced office setting with frequent interruptions and with the need to deal with a great diversity of people.
  • Frequent/regular travel required in order to attend various race/consumer events, media events and tradeshows - minimum 50-60 travel days per year. Must hold a valid Passport and the ability to travel within the U.S.
  • Work hours are non standard, requiring weekend and evening work. Work location and times are flexible (with approval from Marketing Director) depending on project flow and deadlines. 
  • heavy lifting and setting up and taking down of 4 x 8 panels alone and dealing with numerous pieces of freight is sometimes required.
  • Working in warehouse and Exposition Hall settings is required.
